Text of Orders: Dale Vanelli Freedom of Information and Protection of Privacy Officer Ministry of Labour and Citizens’ Services PO Box 9424 Stn Prov Govt Victoria, BC V8W 9V1 February 6, 2009 Dear Mr. Vanelli, I am making this request with the authority of BC’s Freedom of Information and Protection of Privacy Act. The BC Government uses a system called Corporate Request Tracking System (CRTS). This allows ministries to track and manage all FOI requests received by the Government. There may be two versions of CRTS presently in operation: 3.0 or 4.0. Each request that is entered into the CRTS is given a sensitivity level. 1. Please tell me what the various sensitivity levels are for CRTS 3.0 & 4.0 2. For the calendar year Jan 1, 2008 to Jan 1, 2009 please send me a CRTS report for every requests made to all government organizations that have the highest sensitivity level that can be associated with a request. Please make sure that each report contains: a) the exact text of the request b) the status of the request (opened, closed, abandoned, etc), c) the date the request was received, d) the date the records were released, e) the request number and government body who process the request f) sensitivity level (please include this) g) reason for the sensitivity level Here's how this can be easily done. CRTS has a system of user privileges; some users having more access than others. The first thing you may have to do is login with the highest privilege level. The second step is to search CRTS for all requests that have the highest sensitivity level. (CRTS has a feature that allows the user to search for requests based on a set of criteria, including sensitivity level.) The final step is to run a report on the requests that are returned from the search. I would like reports that contain the information described above (i.e., a… g above). I realize that CRTS has many types of reports (e.g., Request Summary, Request Details, Request Activity Details, Current Request Detail, Request Detail history). Please email me if there’s some question about which report to generate. Pursuant of your duty to assist applicants, I request that the records be sent to me in electronic format on CD-ROM. Text of Orders: I’m making this request under the Access to Information Act. 1. Please send me the text of all seven requests (not summaries) that are referred to in the responsive letter of A-2008-0039. With each request, include the file number, the date the requests were made, the status of the request (e.g. full release), and the date the requests were released. 2. Please send me the media lines that were prepared for A-2008-0014. As per section 4(2.1) of the Act (“The head of a government institution shall… provide timely access to the record in the format requested”), I ask that I be sent the records on CD-ROM.

Text of Orders: I understand that is a routine procedure of many government departments and ATIP offices to have routine (e.g., weekly meetings) and to create a document that lists all of the freedom of information and privacy requests that were received that week or are currently being processed. The requests are then give a status to indicate the sensitivity level of the request. These levels may be "sensitive", "amber light", "of interest", "high visibility", "red flag", "routine", etc. Departments then give special handling (e.g., preparation of media lines) to requests of high sensitivity levels. I have attached a news article to clarify what I mean should there be any doubt as to what I am referring. With this context, I am making the following request under the Access to Information Act. 1. Please tell me the names of the sensitivity indicators that are given to access to information requests sent to the Canada School of Public Service. Indicate which sensitivity indicators result in media lines being prepared. 2. From the period beginning with the inception of the Canada School of Public Service to the present, send me: a) the exact texts (not summaries of the text) of all access to information requests that have been given a sensitivity level that is typically associated with the preparation of media lines, b) the request/file number for these requests, c) the status of the request (e.g., full release, partial release, abandoned) As per 4. (2.1) of the Access to Information Act ("The head of a government institution shall... provide timely access to the record in the format requestedâ€), I ask that I be sent the responsive records in electronic form on CD-ROM.
